Back-Office Project Coordinator - Civil Engineer

We are looking for a Back-Office Project Coordinator with a Civil Engineering background to join the Athens-based engineering team. This is a great opportunity for an early-career engineer who enjoys structure, detail, and coordination, and wants to build a career in project management within residential construction.
The Role
This role provides technical and administrative support to the Project Management team across residential construction projects. It is primarily a back-office position, focused on project coordination, preparation and monitoring of Bills of Quantities (BOQs), procurement activities, supplier coordination, and documentation.
You will work closely with architects, engineers, contractors, and suppliers, helping keep projects organized and on track from planning through to completion. It's an excellent role for developing a broad, hands-on understanding of how construction projects are run, with room to grow into a full Project Manager position.
Key Responsibilities
- Support Project Managers in planning, coordinating, and monitoring residential construction projects, while maintaining accurate project documentation and progress reports
- Prepare, review, and update Bills of Quantities (BOQs) based on architectural and engineering drawings, including quantity take-offs and material estimates
- Compare supplier and contractor quotations against BOQs and project requirements, supporting cost control and identifying potential budget deviations
- Prepare procurement requests, obtain and evaluate supplier quotations, and coordinate pricing, availability, and delivery schedules
- Maintain supplier databases and procurement trackers, following up on purchase orders and material deliveries to ensure timely project execution
- Review construction drawings, specifications, and technical documentation to support material selection and technical requirements
- Coordinate communication between architects, engineers, contractors, suppliers, and internal teams, and participate in site visits as required
- Prepare meeting minutes and action lists, and support invoice verification, approval, and payment processes
What You'll Bring
- Bachelor's Degree in Civil Engineering or a related Engineering field
- 1-3 years of experience in construction, engineering consultancy, project coordination, or procurement
- Working knowledge of Bills of Quantities (BOQs), quantity take-offs, construction materials, and construction processes
- Good knowledge of AutoCAD and ability to read construction drawings
- Proficiency in MS Office, particularly Excel for tracking and cost analysis
- Strong organizational skills, attention to detail, and ability to manage multiple priorities and deadlines
- Good communication and negotiation skills, with a proactive problem-solving mindset
Nice to Have
- Master's degree in Project Management or Construction Management.
- Experience in residential construction projects.
- Familiarity with project management software or tools.
