The Role
We're looking for a sharp Business Operations Manager to be the operational backbone of the company and a trusted partner to the co-founders. You'll own the systems and workflows that keep the business running smoothly, from payments and finance coordination to contract review, employee onboarding, office operations, team events, and executive and admin support.
This is a high-trust, high-ownership role where you'll work closely with the co-founders across multiple initiatives. You'll also act as the primary point of contact for external partners, including accountants, lawyers, and vendors, giving you broad exposure and a meaningful role in shaping how the company operates and scales.
Key Responsibilities
- Oversee the day-to-day running of the office, including supplies, equipment, facilities, reception, vendors, cleaning, and filing systems
- Coordinate the onboarding of new employees, ensuring a seamless and timely experience from day one
- Own and continuously improve internal processes, driving operational excellence across the business
- Manage all company payments and serve as the primary point of contact for accounting partners, ensuring financial records are accurate, organized, and up to date
- Review incoming contracts, identify key terms and potential risks, and coordinate with external legal counsel to maintain organized contract documentation
- Plan and deliver team events, celebrations, conferences, and company off-sites, creating engaging experiences for the team
- Provide executive and administrative support to the co-founders, helping manage day-to-day priorities, schedules, and cross-functional initiatives
- Act as a trusted liaison for external partners, managing sensitive financial, legal, and people-related matters with professionalism and discretion
What You'll Bring
- 4+ years of experience in operations, office management, personal assistant, finance administration, or business support roles
- Exceptional organizational skills and meticulous attention to detail, with the ability to spot what others might miss
- Strong prioritization and time management skills, with a proven ability to follow through and deliver.
- Confidence working with numbers, payments, financial records, and administrative processes
- The ability to review contracts, identify key issues, and exercise sound judgment on when to escalate
- Fluency in both Greek and English
- A high level of integrity, discretion, and professionalism when handling sensitive financial, legal, and people-related matters
- A proactive, self-starting mindset with the ability to thrive in a fast-paced startup environment
